Team building you build once

Everything on the market is a session you book, finish, then book again.

Search for virtual team building and every result is a company that will run it for you. Outback, Escapely, The Escape Game, We Are Team Events. They are good at it, and the format is properly worked out: everyone joins a call, a host briefs the group, breakout rooms split them into teams, and a facilitator keeps the clock honest.

They all share one shape though. It is a session. You book it, it happens, it ends, and when the next intake arrives in March you book it again. What you bought was an event, and events do not accumulate.

What owning one changes

An escape room you built behaves differently because it sits on a URL. New starters run it in their first week without anyone scheduling anything. An office in another timezone plays at a sensible hour instead of at seven in the morning. Somebody who was off sick catches up on Thursday.

It also carries your material. A hosted room is about a pyramid or a haunted manor, which is fine and is about nothing. Yours can hide the code inside your safety procedure, your product range or the values document nobody has read, which is the difference between an enjoyable afternoon and an enjoyable afternoon that taught somebody something.

What it actually takes

  • A location. Six to ten 360° panoramas that belong to the same place, so people can move through it and build a map in their heads.
  • A tool. 3DVista if you want scoring and timers built in, ThingLink if your training already lives there, Genially if you want templates.
  • A reason they cannot leave. A prison, a container yard or a sealed facility does this without a word of explanation.
  • One good puzzle per room, and a final code assembled from the pieces. Four rooms is plenty. Most teams overbuild the puzzles and underbuild the place.

Where the time actually goes

Not the puzzles. A locked door is a hotspot with a condition on it and a four digit code is a comparison, so the logic of an escape room is an afternoon of work. The weeks go into finding somewhere convincing to be trapped that you are also allowed to use commercially. That is the part a pack of matched panoramas removes, and it is why this reads as a shopping problem rather than a build problem once you have seen it.

Run it more than once

The reason to build rather than book is repetition, so plan for it. Change the code quarterly. Swap which room holds the final clue. Keep a leaderboard across offices. Run the same room at Halloween with the haunted set swapped in and nobody will notice it is the same game with different wallpaper.

A room that is going to be played by two hundred people is worth twenty minutes of choosing properly. Look at the container yard, the prison and the cave before you settle.
